NY District Saves $37K on Printing Costs

The Deer Park Union Free School District in Babylon, NY, saved $37,000 in six months after it overhauled and streamlined its printing operations.

The district, which has five schools, 4,600 students and 800 staff members, replaced aging copiers and printers with 23 Konica Minolta multifunction printers (MFP) strategically placed around the district, installed Equitrac print management software to more carefully track printing activity and encouraged teachers and staff members to make greater use of the district's in-plant central publication center for higher-volume jobs.

The district can use the software to carefully monitor monthly print allocations and staff and teachers can release their print jobs from multiple locations to the 23 MFPs using the software's Follow You Printing feature.

"Print efficiency was a critical aspect for us and Konica Minolta was the only vendor who could offer us a solution with hardware and software to streamline our document printing," said Andrew Choi, the district administrator for instructional technology who was charged with reviewing vendor proposals when the lease on its previous suite of copiers and printers expired. "We immediately lowered our printing costs, but we improved printing processes and enacted a more sustainable printing strategy."

Choi said the district almost immediately realized it was saving several reams of paper a month.

Using an online portal, teachers can submit PDF documents via a Web-to-print digital storefront for processing by the in-plant center. As a result, the publishing center has improved efficiencies as well and reduced the job turnaround from a week to three days.
