Washington School District Adds Online Registration Tool To Improve Medical Data Collection

Yakima School District 7 has adopted a new registration tool in an effort to streamline the collection and processing of student medical data at the beginning of the school year.

The district registers approximately 3,000 new students each year, requiring about 10 forms to be filled out and processed for each one.

The district required an online tool to collect accurate and current medical information and integrate it with its Skyward student information system prior to the first day of school.

"We needed parents to have the ability to input their child's immunization history online," said Roy Knox, director of technology and central registration for the district, in a prepared statement.

"The repetition of doing double work had to be eliminated," added Knox. "We'd often have to go back and ask parents for missing information from the forms they would fill out. Part-time staff was brought in during busy times and after years, it became vital to have an efficient process in place."

The district chose InfoSnap, a provider of online admissions and registration tools, to help with the job.

"An [off-the-shelf template] was already built when we first started," said Knox. "But, InfoSnap customized that with the specific tables we needed for Yakima to meet our district and Washington State policy requirements."

The new solution has also helped to ensure that all forms are filled out completely and legibly.

"We can read the documents and the online application process won't allow a parent to complete it if required fields aren't filled in," said Knox. "Information is available and stored so we can go back and look at them. The supporting documents are able to be uploaded and we can recapture and visit those easily. It has saved our district an immense amount of time in data entry."
